Zoho One ERP for a Label Printing & Packaging Manufacturer | Case Study

Label printing and packaging manufacturers juggle a lot: custom quotations for every job, artwork approvals, plate making, machine scheduling, raw material stock, dispatch, GST invoicing and after-sales reprints. When each of these lives in a different spreadsheet or app, jobs slip, stock runs out and management never sees the full picture.

This case study explains how Codearbro, a certified Zoho implementation partner, designed a Zoho One ERP for a label printing and packaging manufacturer — connecting sales, production, inventory, finance, HR and customer support in a single platform.

The Challenge

The client handled the complete business lifecycle — enquiry, quotation, job creation, production, dispatch, invoicing and support — through manual processes and disconnected tools. That created several problems:

  • No single view of a job from quotation to delivery
  • Quotations and approvals handled over email and phone with no audit trail
  • Production stages (artwork, plate making, printing, cutting, finishing, QC) tracked manually, so delays were spotted too late
  • Raw material shortages discovered only when a job reached the press
  • Invoices prepared separately from dispatch, slowing cash collection
  • HR, attendance and payroll managed outside the operational system

Our Solution: An Integrated Zoho One ERP

After discovery workshops with the sales, production, dispatch, finance and HR teams, we designed an architecture where each Zoho app owns one part of the process and Zoho Flow plus Deluge keep everything in sync.

1. Zoho CRM — Lead to Sales Order

  • Lead capture from website, email, WhatsApp, phone, walk-ins and referrals
  • Custom requirement forms for label type, material, shape, size, colours, finish, printing type and artwork files
  • Sample request and approval tracking
  • Quotation generation with GST, discounts and delivery charges, plus multi-level approval
  • On quote approval: automatic Sales Order, Job Card and Production Request

2. Zoho Creator — Job, Production & Dispatch Management

Zoho Creator acts as the manufacturing execution system. Every job gets an auto-generated job number, machine and operator assignment, and moves through stages: Artwork Approval → Plate Making → Material Issue → Printing → Cutting → Finishing → Packing → Quality Check → Dispatch. Each stage records the assigned user, start and end time, remarks and delays, which feeds a live production dashboard showing running, pending and delayed jobs, machine load and operator performance.

A customer portal lets buyers approve quotations, track job status and download invoices, while mobile apps let sales, production and dispatch teams update records from the shop floor.

3. Zoho Inventory — Raw Material & Finished Goods

  • Raw material and finished goods masters with batch tracking and barcodes
  • Purchase requisitions, purchase orders and goods receipt
  • Material issue to production and consumption recording
  • Low-stock alerts so jobs are not blocked by missing material

4. Zoho Books, Desk, People & Payroll

  • Zoho Books: automatic GST invoice after dispatch, payment reminders, receivables and profitability reports
  • Zoho Desk: complaints, reprint requests and quality issues with SLA rules
  • Zoho People & Payroll: attendance, leave, shifts, PF, ESIC, TDS and payslips
  • Zoho Analytics: sales, production, inventory, finance and HR dashboards plus a daily MIS

Implementation Approach

We split the rollout into clear phases so the business could validate each area before moving on: discovery and requirement finalisation; CRM and sales automation; Creator production workflows; inventory and procurement; dispatch and logistics; finance automation; customer support; HRMS and payroll; integrations; dashboards; and data migration of masters, open orders and outstanding invoices.

Business Impact

The system is designed to give the business one source of truth for every job. Key benefits include:

  • End-to-end visibility from enquiry to payment for every order
  • Approved quotations turn into production jobs automatically, with no re-typing
  • Production delays and machine bottlenecks visible in real time
  • Fewer stock-outs through low-stock alerts and material tracking
  • Faster invoicing because invoices are triggered by dispatch
  • One Zoho One subscription instead of many separate licences

Frequently Asked Questions

Can Zoho One work as an ERP for a manufacturing company?

Yes. Zoho CRM handles sales, Zoho Creator handles custom production workflows, Zoho Inventory manages stock and Zoho Books handles accounting. Connected with Zoho Flow and Deluge, they work as a complete, affordable ERP for small and mid-sized manufacturers.

How long does a Zoho One implementation take for a manufacturer?

For a full rollout across sales, production, inventory, finance, support and HR, plan for roughly 8 weeks of working time. Smaller scopes, such as CRM plus Books, can go live in 2–3 weeks.

Why use Zoho Creator for production tracking?

Production stages, machine allocation and QC checks are unique to each factory. Zoho Creator lets us build these custom workflows, mobile apps and a customer portal without the cost of fully custom software.
